TASbuddy, A product of Atomsharp L.L.C. ("TASbuddy," "we," "us," or "our") operates the TASbuddy SaaS platform (the "Service"). This Privacy Policy describes how we collect, use, disclose, and safeguard information when you use our Service.

By accessing or using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.

This policy applies to:

  • Account Users — recruiters, hiring managers, and administrators who access the Service
  • Candidates — individuals whose interview data is entered into the Service by Account Users
  • Visitors — individuals who visit our website without creating an account

2. Data We Collect

A. Account & Registration Data

When you create an account, we collect:

  • Full name and email address
  • Company name and job title
  • Password (stored in hashed form; never in plain text)
  • Billing information (processed via our third-party payment provider; we do not store full card details)
  • Account preferences and settings
B. Job Description Data

We collect the job descriptions you enter into the platform in order to generate tailored interview questions. This may include role titles, required skills, and other position details.

C. Candidate Interview Data

You may input candidate responses and other interview notes into the Service. See Section 4 for our specific obligations regarding candidate data.

D. Usage & Technical Data

We automatically collect certain technical data when you use the Service, including:

  • IP address, browser type, and device information
  • Pages visited, features used, and time spent on the platform
  • Referring URLs and clickstream data
  • Error logs and diagnostic data
E. Communications

If you contact us for support or other inquiries, we retain records of that correspondence.

3. How We Use Your Data

We use the data we collect to:

  • Provide the Service — process job descriptions, generate interview questions, record candidate responses, and produce Technical Assessment Reports
  • Manage your account — authenticate users, process payments, and deliver subscription features
  • Improve the Service — analyze usage patterns and model performance to enhance accuracy and features (using de-identified or aggregated data)
  • Communicate with you — send transactional emails (receipts, password resets), product updates, and, with your consent, marketing communications
  • Ensure security and integrity — detect and prevent fraud, abuse, and unauthorized access
  • Comply with legal obligations — respond to lawful requests from authorities and fulfill regulatory requirements

4. Candidate Data

Candidate data entered into the Service may include:

  • Candidate name and contact details (if provided by the Account User)
  • Interview responses and notes recorded during live interviews
  • AI-generated evaluation scores and skill assessments
Your Obligations as an Account User

Before inputting candidate data into the Service, you must ensure:

  • Candidates have been informed that their responses may be processed by an AI-assisted platform
  • You have a lawful basis for processing candidate personal data under applicable law (e.g., GDPR, CCPA, or local employment law)
  • Your use of AI-generated assessments complies with employment discrimination laws in your jurisdiction

We will process candidate data only as instructed by you (the data controller) and as described in this policy and our Data Processing Agreement (available upon request).

5. Data Sharing & Disclosure

We do not sell your personal data or candidate data to third parties. We may share data in the following limited circumstances:

Service Providers (Sub-processors)

We share data with trusted third-party vendors who assist us in operating the Service, including:

  • Cloud hosting providers — for infrastructure and data storage
  • AI model providers — for processing job descriptions and generating assessments
  • Payment processors — for billing (e.g., Stripe)
  • Analytics and monitoring tools — for platform performance and error tracking
  • Email delivery providers — for transactional and notification emails

All sub-processors are contractually bound to protect data to standards at least equivalent to this policy.

Legal Requirements

We may disclose data if required to do so by law or in good-faith belief that such action is necessary to comply with a legal obligation, protect our rights, or prevent fraud or harm.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction. We will notify you of any such change in ownership and any choices you may have.

6. AI Processing & Automated Decision-Making

Our Service uses artificial intelligence to analyze job descriptions and candidate responses to generate Technical Assessment Reports. Here is how this works in terms of your data:

  • Job descriptions and candidate responses are processed by AI models to generate structured outputs
  • AI-generated assessments are informational — they do not constitute final employment decisions
  • No fully automated hire/no-hire decision is made by our system; a human (you) makes all final hiring determinations
  • We may use de-identified, aggregated data to improve AI model accuracy over time

7. Data Retention

We retain data for as long as your account is active or as needed to provide the Service. Specific retention periods:

After the applicable retention period, data is securely deleted or anonymized.

8. Security

We implement industry-standard technical and organizational measures to protect your data, including:

  • Encryption of data in transit (TLS) and at rest (AES-256)
  • Hashed and salted password storage
  • Role-based access controls limiting who can access data internally
  • Regular security audits and vulnerability assessments
  • Incident response procedures for data breaches

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security. In the event of a data breach affecting your rights and freedoms, we will notify you as required by applicable law.

Depending on your location, you may have the following rights regarding your personal data:

Request a copy of the personal data we hold about you.

Request correction of inaccurate or incomplete data.

Request deletion of your personal data, subject to legal retention requirements.

We use cookies and similar tracking technologies to operate and improve the Service. Types of cookies we use:

  • Analytics cookies — help us understand how users interact with the Service (e.g., pages visited, feature usage). Used in aggregate, de-identified form.

11. International Data Transfers

TASbuddy is based in the United States. If you are accessing the Service from outside the United States, please be aware that your data may be transferred to, stored, and processed in the U.S. or other countries where our service providers operate.

Where we transfer personal data from the European Economic Area (EEA), United Kingdom, or Switzerland to countries without an adequacy decision, we rely on appropriate safeguards such as:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Data Processing Agreements with sub-processors incorporating equivalent protections

The Service is intended solely for business use by adults aged 18 and over. We do not knowingly collect personal data from children under the age of 16.
